Different Types of Estimates

Instead of one, there are several different types of estimates, and a moving company may use one or a combination depending on the circumstances of the estimate request.

Possibly the most common is the non-binding estimate. This type of estimate is basically just an approximation of how much the company will charge to move your things, though moving company agents try to be as accurate as possible. Some will come to your home to evaluate how much stuff you have and write the estimate based on that, but many times this type of estimate is given over the phone based on the details you provide.

Typically any changes in price will be due to the addition of goods to the load or request for more moving services. However, sometimes the estimated cost may go up if the company's prices change between the time the estimate was written and the movers were hired. In some rare cases, the company may charge additional fees after moving your items if it experienced unexpected costs during the transport such as a request by you to take a different route to the final destination.

A non-binding plus 10 percent estimate is basically the same as a non-binding agreement. However, this type of estimate contains a rider that states if the final cost exceeds the initial price, then you only have to pay the estimated amount plus 10 percent of the total. The mover agrees to then transport your stuff to your new home and bill you for the balance due. Typically the balance is due 30 days after delivery. This can help you manage the unexpected increased costs a little better.

A binding estimate is one where the cost quoted to you is guaranteed and actually represents a binding agreement between you and the moving company. In most cases, the moving agent will do an in-person tour of your home and provide you with an estimate based on what he or she sees. Regardless of what happens between when the estimate was provided and when you arrive at your final destination, the price will never change.

This is the best type of estimate because you won't pay more if your shipment actually ends up weighing more than what was expected. However, this can also backfire because you'll still pay the same price if your shipment is under the expected amount. Additionally, many moving companies put an expiration date on the estimate. So if you don't book by that time, then you'll need to have a whole new estimate done, which may result in a higher price.

A binding estimate with a not-to-exceed price is a flexible pricing option where the moving company gives a maximum price the move will cost. These estimates tend to be a little higher than regular binding agreements to account for the possibility of a heavier load than initially calculated. However, if the load is lighter than expected, the moving company will charge a lower price. You still enjoy the benefit of having a set price—even if it is a little higher—with the added benefit of potentially saving money by making an effort to reduce the amount of stuff you have the company move.
